Intake Specialist
Hunter Law Group is looking for a full-time intake specialist to join our team! You’ll serve as the first point of contact for prospective clients of the firm, and as a friendly voice on the other end of the line to callers of all kinds, whether it’s a current client, opposing attorney, a vendor or court staff. This role will also provide some administrative and clerical support to the attorneys and paralegals at a real estate law firm in Prairie Village, Kansas, such as organizing and managing documents, preparing materials for hearings and trials, and ensuring that the attorneys are up to date on memberships and continuing legal education credits. The successful candidate is an excellent listener with a can-do attitude and a willingness to learn about the firm’s intake procedures and practice areas. Skills and Qualifications:
- Friendly to teammates, clients, opposing counsel and court staff
- Ability to handle incoming calls and route them appropriately or provide polite assistance when applicable Excellent listening skills
- High attention to detail and accuracy
- Strong organizational skills
- Eager learner
- Proficiency in Adobe and Microsoft Office Suite, including Outlook, Word and Excel
- Discretion to maintain the confidences of clients and potential new clients
- Prior customer service experience is a plus
- Prior office experience preferred
- Prior law firm experience is a plus
- Familiarity with Clio Grow and Clio Manage is a plus
Primary Duties and Responsibilities:
- Answering phones
- Following intake procedures, including screening callers, running conflict checks, data entry and communicating with attorneys about potential new clients
- Performing follow-up calls and emails to potential new clients
- Entering accurate data in the law firm’s data management system
- Preparing new client paperwork and correspondence
- Saving documents in an organized fashion in accordance with firm procedures
- Keeping attorney registrations up to date and organized
- Proofreading
- Preparing materials for hearings and trials
- Handling snail mail and electronic mail – receiving, sorting, delivering
- Calendaring non-substantive deadlines (networking events, CLE’s, etc.)
- Managing vendor relationships
- Purchasing office supplies and equipment and maintaining those items in stock
- Troubleshooting office equipment issues and communicating with vendors about service needs
- Participating in weekly open matters meetings with all staff, including attorneys
- Assisting with the administration of the day-to-day operations of the firm
Hours are 8:30am to 5:00pm Monday through Friday. Benefits include health insurance, two weeks of paid time off, and free parking. Pay range is $16 to $22 per hour depending on related experience and references.
